Meeting Rooms Terms of Use
General
These terms of use apply to you as an individual booking a meeting room at the Work Café premises (“you”), operated by Santander UK plc, through www.santander.co.uk (“Website”).
When you book one of our meeting rooms, we offer a range of meeting room services which are set out in the description of the particular meeting room on the Website.
By booking one of the meeting rooms, you represent and warrant that you:
- are 18 years of age or older;
- have full legal authority to enter into these terms of use; and
- have read and understand these terms of use and agree to comply with them.
You are responsible for ensuring that everybody who attends the meeting with you is aware of these terms of use and complies with them.
1. Who we are and how to contact us
In these terms of use 'we’ or ‘us’ refers to Santander UK plc, registered in England and Wales under company number 2294747. Our registered offices are located at 2 Triton Square, Regent’s Place, London, NW1 3AN. We are authorised by the Prudential Regulation Authority and regulated by the Financial Conduct Authority and the Prudential Regulation Authority. Our Financial Services Register number is 106054.
2. Booking
You can book a meeting room during Work Café opening hours.
Bookings can be made for a minimum of 1 hour and a maximum of 2 hours per day, but cannot be extended beyond this.
All bookings are subject to availability. We will send you a formal confirmation of your booking to the e-mail address you provided to us. The name on the booking confirmation must be the same individual who attends the meeting room at the booking time.
You are required to provide information about yourself and the purpose of the meeting when you book a meeting room to allow us to effectively manage the meeting room booking service.
If you wish to make any changes to your booking or you no longer wish to use the meeting room, then you should let us know as soon as possible following the instructions in the email with your room booking confirmation.
Your booking will automatically expire if you do not attend/ confirm your attendance with our staff on premise within 15 minutes after the meeting start time. Maximum occupancy within a meeting room cannot be exceeded.
3. Equipment
The use of the meeting room includes hiring of all the equipment (“Equipment”) in the room, including without limitation tables, chairs and electrical equipment, as further detailed in the room specification on the Website.
You must report any faulty Equipment to a member of team as soon as possible. You must not move Equipment from the meeting room to any other part or outside of our premises without our written consent.
If you plan to use a power charger with your own device, laptop/computer etc, while on our premises, it should conform with any legal requirements. Perform a visual inspection on any personal connecting or power cables before each use to avoid any faulty or adverse issues.
You should not leave any equipment or any property you bring to the Work Café unattended. Any equipment and property you bring onto the premises of the Work Café is done so at your own risk and any loss or damage to your property is your responsibility.
You must ensure that you leave the meeting room as you found it, removing all your equipment and putting all rubbish in the bin.
If you damage any Equipment or any other items belonging to us whilst on the premises, you agree to pay the costs for repairs or replacement of the item or items. You also agree to pay the cost of cleaning, should the room be left soiled.
You may not make any alterations to the room, equipment or layout without our written consent.
4. Use of Internet
You are entitled to the use of free internet access at our premises. Such use shall be at your own risk and subject to you complying at all times with the relevant provisions of the Digital Economy Act 2010.
We provide internet access through a third-party service provider. You will be asked to accept their terms and conditions when you connect to the service. Please contact a member of our staff if you need assistance connecting to our Wi-Fi service.
We will not be liable for any loss or damage caused by:
- acts or omission or the third-party service provider;
- a virus, distributed denial-of-service attack or other technologically harmful material that may infect your computer, equipment, computer programs, data or other proprietary material due to your use of the internet on our premises; or
- a third party accessing or intercepting your internet traffic unauthorised.
5. Restrictions of use
When making a booking, you must declare to us the purpose of your booking. The meeting rooms and Equipment must be used for that purpose only.
You must not use the meeting rooms or Equipment in any way that would annoy or disturb any visitors or which might bring our name into disrepute.
You must not bring your own food and drinks into the Work Café and the meeting room. You can only consume food and drink purchased on the premises.
You cannot consume alcohol on the premises and you cannot bring alcohol onto the premises.
Only assistance animals are permitted onsite.
Smoking and the use of vapes is not permitted in the Work Café.
You are responsible for:
- ensuring your own behaviour and that of others attending your meeting is always appropriate. We reserve the right to cancel any bookings and to ask you and your group to leave if there is unacceptable behaviour, which we in our sole discretion deem inappropriate.
- ensuring the health and safety of everybody attending your meeting throughout the duration of the booking period;
- carrying out any risk assessments for your visit; for any accidents, please report to a member of the team.
- familiarising yourself with the fire evacuation procedures of the premises as displayed in the Work Café, including passing this information onto anyone using the meeting room you have booked.
Information regarding fire evacuation procedures are available on premises.
We reserve the right to alter proposed room layouts in order to comply with fire regulations and to refuse admission to rooms for health and safety reasons.
6. Liability
You acknowledge that our meeting rooms are provided as a complimentary service without charge. We reserve the right to cancel or move your booking to a different room if required without liability to you. We will notify you if we have to do this.
We shall under no circumstances whatsoever be liable for however arising under or in connection with these terms of use:
6.1. any loss of profit or revenue, business or customers, loss or inaccuracy of data, equipment downtime, business interruption (in each case, whether direct or indirect) or any indirect, incidental, punitive, exemplary, special or consequential loss or damages;
6.2. for any loss or damage to property that you or others attending your meetings bring to our premises;
6.3. for any loss due to mechanical breakdown, failure in electricity supply, floor, fire, government restriction or act of God or anything else outside our reasonable control which may cause the premises to be temporarily closed or your meeting to be interrupted; and
6.4. any views and actions of other individuals and any action of third parties in the Work Café that are not employed by us.
You are responsible for any damage or harm done to persons, building or property arising from your actions or omissions or those of others attending your meeting.
Any remaining liability we may have to you under or in connection with your booking or these terms of business shall be limited to a maximum of £1000.
Nothing in these terms of use excludes or limits our liability for death or personal injury arising from our negligence, or our fraud or fraudulent misrepresentation or any other liability that cannot be excluded or limited by law.
7. Termination and Suspension
These terms of use apply to each booking and will remain in full force and effect until the relevant booking has ended. We may suspend or terminate the booking and your right to book a meeting room at any time for any reason at our sole discretion, including for any violation of these terms of use.
How we use your personal information
Any personal information we collect from you as part of the meeting room booking process will be used in accordance with our privacy notice which can be found at https://www.santander.co.uk/personal/support/customer-support/legal-information. Room booking data can be held for up to 120 days.
